SPConnect for IOS Privacy Policy

This document provides privacy information related to the SPConnect app for IOS. All data that is stored on the local device is used for the operation of the app only. All data on the device is owned by the device owner. SPConnect does not collect personal information nor is any data sent to third party companies or servers. There are no ads in this product.

Sensitive Data and Security

To use the app, it is necessary to provide configuration information to connect to a Microsoft SharePoint server. The configuration data is stored on the device for easy login. The data includes username and password which is saved in unencrypted form on the device. SPConnect depends on the encryption capabilities of the IOS device to keep all data on the device safe. Encryption is automatically enabled when a passcode is set for the device. The sandboxing nature of IOS also prevents other apps on the device from accessing sensitive data stored on the device by SPConnect.

When connecting to an Office 365 site, you can avoid local storage of username and password when you use the “Office 365 Browser” authentication method. The device browser is used to login a user by sending the username and password directly to the SharePoint server. At no time is our app involve in the authentication process. On successful login, an authentication cookie is returned to SPConnect to establish a user session. When using this authentication method, SPConnect does not have access to the username/password as all communication is between the browser and the SharePoint server. The user has the option of staying logged in so that he/she does not have to re-enter username/password each time a new session is started.

Documents

Users can open documents for viewing. A document is temporarily downloaded to the device before it can be opened for viewing. The document is removed from the device when viewing is complete.

Users can download documents and save in SPConnect’s Documents folder on the device for offline access at a later time. The Documents folder is private to SPConnect and cannot be accessed by other apps on the device. The user can remove documents from this folder at any time.

Camera

Users can use the device camera to take photos/videos and upload to SharePoint. The user is asked to grant permissions to access the camera before it can be used by SPConnect to take photos/videos. The user can revoke camera permissions at any time.

Microphone

Users can use the device microphone to record audio and upload to SharePoint. The user is asked to grant permissions to access the microphone before it can be used by SPConnect to record audio. The user can revoke microphone permissions at any time.

Photo Album

Users can upload photos/videos stored in the device photo album to SharePoint. The user is asked to grant permissions to access the photo album before it can be used by SPConnect. The user can revoke photo album access at any time.

Location Services

Camera photos uploaded to SharePoint can be tagged with the location where the photo was taken. The user is asked to grant permissions to use the location service before SPConnect can tag the photo with the current location. The user can revoke location services access at any time.

Caching

SharePoint data is cached on the device for performance such as reducing network traffic over a slow network. As you browse a SharePoint site, the app stores meta-data about document libraries and lists. Caching can be disabled in the app’s settings. You may want to disable caching if you are using SPConnect on a local Wi-Fi. The user can delete cached data at any time.

Network Security

SPConnect uses the http protocol to communicate and transmit data with the SharePoint server. It is important that the networked data is encrypted when using SPConnect in a public network (i.e. cellular data network or public Wi-Fi). It is suggested that the SharePoint server be configured to use SSL (Secure Socket Layer or https) to properly encrypt transmitted data between the IOS device and the SharePoint server. Although SPConnect supports the usage of a self-signed server SSL certificate, it is not safe. We strongly recommend that a valid SSL certificate signed by a trusted certificate authority is installed on the SharePoint server. Office 365 automatically uses SSL for all its SharePoint servers.
